Schengen Visa Appointment Day Checklist: What to Bring and in What Order

A printable folder order for your VFS, TLScontact, BLS or consulate appointment, plus what happens at the counter and the mistakes that get applicants sent back.

By the SchengenDoc editorial team · Checked against the EU Visa Code (Regulation (EC) No 810/2009), European Commission visa statistics and official consulate checklists. How we verify

The appointment itself usually takes 15–20 minutes. Applicants who arrive with documents in a clear order spend less time at the counter and are less likely to be asked to step aside and reorganise. Use the printable folder order below, but if your visa centre or consulate publishes its own order or checklist, follow theirs. Some centres hand out a numbered checklist at the door.

01Before you leave home

  • Print your appointment confirmation and check the time, address and centre name.
  • Bring originals and one set of photocopies. Most centres keep the copies and hand back originals such as bank letters.
  • Bring payment for the visa fee and any centre service fee. Check which payment methods the centre accepts.
  • Don't staple pages together unless the checklist asks you to. Use paper clips or plastic sleeves instead.

02The folder order

Put the documents in this order. It follows how most officers check a file: identity first, then trip purpose, then means and ties. The checklist on this page can be printed or saved as a PDF.

03At the counter

  • The officer checks your documents against the checklist and may ask short questions: why you're travelling, where you'll stay, who pays.
  • Biometrics: fingerprints and a photo are taken if you haven't given them in the last 59 months.
  • You pay the fees and get a receipt with a tracking number.

04Common reasons applicants get sent back

  • An unsigned application form.
  • Photos that don't meet the photo requirements.
  • Booking the wrong consulate. Your main destination decides, not your flight route.
  • Dates that don't match across the form, itinerary, bookings and insurance.

SchengenDoc writes the cover letter and itinerary with the same dates and destination as your form. Build your complete visa file, or check what you need with the free document checklist.
